Forms used to notify the shared service centre of new starters, leavers and adjustments.

These have been reviewed again and amended slightly for ease of use, improving the layout and including additional information.

The shared services centre's email address is now included at the bottom of each form, however please ensure the originals are also returned in the post where completed forms are sent via email.

All the starters forms now include two new categories in the ethnic origin fields under the equal opportunities monitoring section. The two new categories are Gypsy or Irish traveller and Arab.

The main changes to the teachers starters form include the introduction of the new main pay scale point 6A, the removal of the school group from the Leadership salary section of the form and the inclusion of confirmation whether a satisfactory prohibition check has been completed.

Please ensure school workforce census details for teachers and teaching assistants or equivalent posts are completed on the leavers form as this is essential for reporting this data.

School workforce census

A guidance document on the school workforce census was issued to schools via email on 3 November 2014 for information. It is the intention that SAP will produce the information required for schools workforce census data from November 2015.

Information provided from the new forms in relation to origin and destination will be input by the shared services centre as part of their normal processes. However, information relating to qualifications (part C of the teacher's and non-teaching starters forms) should be input directly in to SAP by the school.

A copy of part C should be retained by the school to record the information once the employee's record has been created on SAP by the new hire team in the shared services centre.

There will be an automated report run quarterly, on the 30th of the month (March, June, September and December), which will be available in the Perspective Lite secure area

The report will detail any employees with blank qualifications. This report will be a CSV file that will need converting to Excel. Please see guidance that was sent via email on 3 November 2014.

The data that was captured from the November 2014 Census, for existing staff, has already been migrated into SAP.

Extended or wraparound services

In recent years schools have employed staff to operate breakfast and after school clubs. The shared services centre schools starter forms have been amended so you can identify if the employee is undertaking extended or wraparound services.

Where you identify that the employee is undertaking extended services the shared services centre will set up the new starter with the correct budget codes that will automatically map the costs appropriately.

Where you already employ staff who work in a breakfast or after school club please be aware that this record should be separate to any other employment records they may hold at the school. Where they are not separate a new record will need to be created and the hours adjusted accordingly on the existing record. This should be done by submitting an adjustment form for the reduction in hours and a starter form to set up a new record for the extended services to the Shared Services Centre.

School starters forms have been amended to request confirmation that relevant new starters have provided a satisfactory declaration under the disqualification by association criteria.
